How to prepare for a corporate headshot day

It usually lands on someone in HR or marketing. Most of the day's success is decided before it starts, with one short list and one good message to the team.

A week before

  • A list of everyone being photographed, with names as they appear on the website
  • A decision on background: neutral gray or your brand colors
  • A free meeting room for the whole day, with a power outlet
  • A schedule in ten-minute slots, with a buffer every hour
  • A decision on a group photo, and when everyone is available for it

What to tell the team

Two lines are enough: when their slot is, and that it takes ten minutes. Add that they should bring two shirts, preferably with a collar and without strong prints, and that the pose is our job.

People who dislike being photographed relax when they know exactly how long it takes.

On the day

  • We arrive an hour before the first person and set up
  • One person on your side keeps the queue moving, so nobody is forgotten
  • Put the executives early, before their day falls apart
  • Leave a window at the end for whoever missed their slot

Afterward

The selection gallery arrives within 48 hours. Decide in advance who chooses: each person for themselves, or one person for everyone. If someone joins in six months, we can come back and shoot them in the same conditions. More on corporate headshots.

Common questions

How many people can you photograph in a day?

Simple math: five to ten minutes a person. In two hours you can finish an office of ten, including setup and packing. At a large company, we plan the day around how many people are free at once.

What if someone is sick on the day?

We document the lighting, distances and background, and return on another date with exactly the same set.
